Chartwells Policies

Chartwells and the Student Center offer the customized service and professional assistance necessary to make your event a success. This guide will give you the basics to start you off on the right foot. Whether your event is held on the Southern Illinois University campus or off  campus, we are here to guide you every step of the way. The Chartwells staff will customize menus and set-ups to best suit your needs. Please make an appointment with our culinary staff to help you answer any questions you may have throughout the process.  

Steps in Planning Your Event]

When you begin your experience:

  • First set your date and place a call to the Scheduling Office (618-536-6633) to book the room
  • Discuss set up details regarding table arrangements
  • Contact the Catering Office (618.453.1130) to discuss menu ideas and the program of the event
  • Place your order at least 12 business days in advance
  • Your guarantee numbers are due four business days in advance

Deposits

A deposit of 80% is due 10 business days prior to your event. The balance is due the day of the event. If your event falls on a weekend the balance is due the Friday before by 4:00 pm in the Catering Office. For Southern Illinois University Carbondale events a budget purpose number and the fiscal officer signature is required before your event takes place. 

Guarantees

The guarantee number must be turned in to the Catering Office four business days prior to the event. If the number of expected guests changes please contact the Catering Office as soon as possible. A 25% late charge will be assessed for the number of guests that exceeds your original guarantee. If you place an order less than four business days prior to your event a 25% late fee will be assessed for the entire bill. 

Catering Regulations

Due to the Health Department regulations any food not consumed at a function in the SIUC Student Center may not be removed from the serving area. The only acceptations are cookies, brownies, and cakes. Chartwells is the exclusive caterer for the SIUC Student Center. No other caterers or their products can be brought inside the SIUC Student Center.

Alcohol Service

A Request to Serve Alcoholic Beverages form must be filed and returned to the Catering Office at least 10 business days prior to event. Registered Student Organizations may not serve alcoholic beverages to guests. A bartender provided by Chartwells must be at all events that will have alcohol. The client is responsible for purchasing liquor and bringing it to the SIUC Student Center one business day before event. Wine bottles or beer cans may not be placed on the guest tables. All alcoholic beverages must be served in glasses. All bars are closed during the meal period.  

Bartenders are supplied on a per-capita basis at a ratio of one bartender per 120 guests. Additional bartenders may be requested at a charge of $25.00 per hour. 

Bar Charges

A fee of $2.95 per person for two hours will be charged for a full bar set up including ice, plastic glasses, mixers, napkins, garnish, soda, water, and bartender. China service will be an additional $.75 per person. 

A fee of $2.95 per person for two hours will be charged for a beer and wine bar set up including ice, plastic glasses, water, tea and bartender. 

China Service

China service is included for served and buffet meals in the Student Center. All meals served outside of the Student Center will be served on plastic. For an additional $1.00 per person, china service may be used. Plastic service will be used for all receptions. For an additional $.75 per person, china service may be used. 

Delivery Charges

All contracts outside of the Student Center will be charged a fee of $30.00 Monday - Friday. A $50.00 fee will be charged on Saturday and Sunday. 

Contracts outside of the Student Center must be over $100.00 or a fee of $50.00 will be added to cover cost unless the customer picks up the contracted food.   

Linen Service

White table linen and maroon napkins are included in all served meals and buffets. Additional colors of table coverings are available for a fee of $3.00 per linen and $1.00 per napkin. 

Special Meal

We will happily accomodate special diets (i.e. low fat or vegetarian meals) at no additional cost. Please provide a notice of the number and type of special meals needed four business days prior to your event.
